Privacy Policy
Last updated: 31 August 2026
This policy explains how Rhode Labs ("Rhode Labs", "we", "us") collects, uses, shares and retains personal information. It applies to rhodelabs.ai, to any enquiry you send us, and to information you submit through forms we run on third-party platforms — including instant lead forms on Facebook and Instagram, and forms associated with pages we operate such as AI Data.
If you do not want us to hold your information, do not submit it, or contact us at the address below and we will delete it.
1. Information we collect
| Category | What it includes | Where it comes from |
|---|---|---|
| Contact details | Name, business email address, telephone number, company name, job title | You, via a lead form, contact form or email |
| Business qualification details | Answers you give about your organisation — approximate headcount, years of operating history, industry, the business systems you use, and whether the business is still trading | You, via a lead form |
| Correspondence | Messages, call notes and documents you send us | You |
| Technical data | IP address, browser and device type, pages viewed, referring source | Automatically, when you visit rhodelabs.ai |
| Advertising data | Which ad or campaign you responded to, and aggregate delivery and performance metrics | Meta Platforms and other advertising platforms |
We do not ask for and do not want: government identifiers, financial account numbers, payment card details, health information, or the personal data of your customers, clients, patients or employees. Please do not send these to us. If you do, we will delete them.
2. How we use it
- To respond to your enquiry and assess whether we can help you
- To prepare an indicative valuation or appraisal you have requested
- To contact you about that enquiry by email or telephone
- To arrange and conduct calls and meetings
- To operate, measure and improve our advertising
- To keep records required for tax, accounting and legal compliance
We do not sell personal information, and we do not share it for cross-context behavioural advertising.
3. When we share it
We share personal information only in the circumstances below.
Prospective counterparties
Where you have asked us to explore a data licensing or partnership arrangement, we may share details of your business with prospective counterparties in order to obtain an indication of interest. We will not identify you or your business to any third party for this purpose without your prior agreement. Preliminary approaches are made on an anonymised basis, describing the business by industry, approximate size and the general nature of the records only.
Service providers
Suppliers who process information on our behalf and under contract — email and calendar hosting, customer relationship management, cloud storage, analytics, scheduling and e-signature tools. They may only use it to provide their service to us.
Advertising platforms
Where you submit an instant form on Facebook or Instagram, Meta Platforms collects and processes that submission under its own privacy policy before transmitting it to us. We are an independent controller of the copy we receive.
Legal and corporate
Where required by law, court order or a regulator; to establish, exercise or defend legal claims; and to a buyer or successor in connection with a merger, acquisition or sale of assets.
4. Legal bases
Where UK or EU data protection law applies, we rely on: consent, where you submit a form or opt in to contact; legitimate interests, in operating and marketing our business, assessing enquiries and keeping our records secure; and legal obligation, for tax, accounting and compliance records. You may withdraw consent at any time.
5. How long we keep it
- Enquiries that do not proceed — 24 months from last contact, then deleted
- Active discussions and engagements — for the duration, then 6 years for legal and tax purposes
- Advertising and analytics data — as retained by the platform under its own policy
- Anything you ask us to delete — removed within 30 days, except where we are legally required to keep it
6. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to obtain a portable copy, to object to or restrict our use of it, and to withdraw consent. We will not discriminate against you for exercising any of these rights.
California residents have these rights under the CCPA as amended by the CPRA, and may use an authorised agent. As stated above, we do not sell personal information and do not share it for cross-context behavioural advertising, so there is nothing to opt out of — but you may still contact us to confirm this.
To make a request, email us at the address below. We will verify your identity before responding, and will reply within the period required by the applicable law (45 days in California; one month in the UK and EU).
7. Security
We use encryption in transit, access controls, multi-factor authentication on administrative accounts, and least-privilege access to the systems that hold enquiry records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Cookies and analytics
rhodelabs.ai uses only what is necessary to serve the site and to measure aggregate traffic. Where we or an advertising platform set cookies or similar identifiers to measure ad performance, you can control these through your browser settings and through your ad preferences on the relevant platform.
9. International transfers
We are based in the United States and our service providers may process information in the United States and elsewhere. Where information is transferred out of the UK or EEA, we rely on appropriate safeguards, including the UK Addendum and the European Commission's Standard Contractual Clauses.
10. Children
Our services are for businesses. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with information, contact us and we will delete it.
11. Changes
If we change this policy we will update the date at the top of this page. Material changes will be notified to anyone we hold contact details for.
12. Contact

UK and EU residents may also complain to their national supervisory authority; in the UK this is the Information Commissioner's Office at ico.org.uk.
